    Personalization tokens are merge fields — placeholders such as {{firstName}}, {{company}}, or {{jobTitle}} — that a sending platform replaces with prospect-specific data when each email is sent. The data comes from the lead list or CRM: standard fields like name, company, and title, plus custom fields the sender uploads, such as a researched opening line or a named pain point. Tokens are what let one template produce thousands of individually addressed emails. They are distinct from spintax, which randomizes wording across sends to vary the message; tokens personalize, spintax varies. Every mainstream cold email platform, including Instantly and Smartlead, supports both standard and custom tokens, along with fallback values that substitute a default (or drop the sentence) when a field is empty. The template stays scalable while the first sentence reads as written for the recipient. Fallbacks matter: every token should have a defined behavior when the field is blank, because the fastest way to get deleted is an email starting "Hi {{firstName}}" — the classic symptom of an unmapped column, a header mismatch, or a casing error in the token name. Before launch, QA a random sample of rendered emails against the raw list, checking for empty fields, wrong-case names ("hi JOHN"), and company names with legal suffixes ("Acme Corporation Ltd.") that read as mail merge. Over-tokenizing is the other failure mode: five merge fields crammed into three sentences reads more automated than none.
